Golf 2007/09/27GOLF COMMISSION MINUTES September 27, 2007 — 5:00 p.m. 4th Floor, Conference Room 1 COMMISSIONERS PRESENT: CITY STAFF PRESENT: VALLEY CREST PRESENT: CALL TO ORDER Chairman John McCulloch Vice Chairman Bud Schultz Commissioner Kathy Wright Commissioner Patty Gaby Commissioner Skip Keys Michael Lautenbach, Dave Johansen, Bob Johns and Eleanor Granflor Kevin Neal, Golf Course Superintendent Chairman McCulloch called the meeting to order at 5:00 p.m. PUBLIC COMMENTS — None APPROVAL OF THE MINUTES Vice Chairman Schultz made a Motion to approve the July 26, 2007 and August 23, 2007 Minutes. The Motion was seconded by Commissioner Wright. Motion passed. ACTIVITY REPORTS A. Golf Superintendent Michael Lautenbach stated he is still awaiting equipment for fiber optic connection to arrive at Anaheim Hills Golf Course. Michael Lautenbach stated the ball trajectory study insurance information will be received soon. Once received, the information can go to the City Manager's office for approval before the study can begin. Michael stated this will eventually go to bid in order to build a protective fencing structure at Dad Miller bordering Savannah High School. Michael Lautenbach stated the GPS advertising sales agreement will soon be finalized and presented to the City Manager. Vice Chairman Schultz stated that an ad was locking up the system in the 6th fairway. Michael Lautenbach stated he will look into it. Michael Lautenbach stated Aqua-PhyD signed and returned the renewal agreement that expired September 13, 2007. Michael stated that a new renewal agreement, good until 2008, was sent out to Aqua-PhyD. Michael Lautenbach stated a quote was received to build a wood structure to cover the new pump station at Dad Miller in the amount of $28,000. He explained that it is an enclosed structure in which the pumps are still accessible through the roof. Michael Lautenbach is waiting for a quote on a more basic metal structure. GOLF COMMISSION MINUTES September 27, 2007 Page Two B. Golf Course Superintendent Dave Johansen presented his report and answered questions. He stated the greens will be aerified at both Anaheim Hills and Dad Miller golf courses. Vice Chairman Schultz discussed the condition of the greens at Anaheim Hills. Dave Johansen stated the greens had a touch of a disease at hole #8. Kevin Neal of Valley Crest stated Valley Crest trimmed the trees at hole #8 due to broken branches. C. Director of Golf Bob Johns presented his report and answered questions. Bob reported personnel changes at both Anaheim Hills and Dad Miller golf courses. Vice Chairman Schultz discussed the golf cart situation on weekends at Anaheim Hills. Bob Johns stated that giving out golf cars early at Anaheim Hills was suspended because club players were not getting to the first tee on time. Chairman McCulloch stated the idea of giving out a number like Dad Miller golf course. Vice Chairman Schultz stated that the 1St tee starter should have a list of all tee times. Michael Lautenbach stated that they get a starter sheet every morning but will check that this procedure is still in place. FINANCIAL REPORT Michael Lautenbach reported that August was a good month. Rounds and revenues increased for both golf courses. OLD BUSINESS A. Golf Course Improvement Update Michael Lautenbach stated the bid is out for tree trimming. He stated 14 companies came to the walk-through at Dad Miller Golf Course. Michael stated the bid opening is on October 9, 2007. Michael Lautenbach discussed the flooring of the bathrooms at Dad Miller Golf Course. He stated the bathrooms will have epoxy flooring. B. Capital Reserve Fund Michael Lautenbach stated there is no additional information on this item, but staff will have more information by next month's meeting. Ordinance No. 6066 — Removal of Board and Commission Members due to Excessive Absences from Meetings Michael Lautenbach stated the Ordinance was agreed upon in July 2007. Michael stated there cannot be excessive absences of 3 consecutive meetings or 5 per year. If this occurs, City Council will be notified. Commissioner Keys questioned when this Ordinance went into effect. Michael Lautenbach stated the Ordinance was adopted August 7, 2007. Michael clarified that there cannot be more than 5 absences in a 12 month rolling period. Commissioner Keys questioned if there are excusable absences. Michael Lautenbach stated there are excusable absences. B. Golf Outing Chairman McCulloch questioned if there will be a fall outing. Michael Lautenbach stated he will look into it and let Commissioners know when the next fall outing will be. ADJOURNMENT Commissioner Wright made a Motion, seconded by Chairman John McCulloch, to adjourn the meeting to October 25, 2007 at 5:00 p.m., at City Hall East. The Motion passed. There being no further business the meeting adjourned at 5:57 p.m.
