Golf 2008/01/24GOLF COMMISSION MINUTES January 24, 2008 — 5 p.m. City Hall East, Conference Room 1 COMMISSIONERS PRESENT: CITY STAFF PRESENT: VALLEY CREST ABSENT: CALL TO ORDER Chairman John McCulloch Vice Chairman Bud Schultz Commissioner Kathy Wright Commissioner Skip Keys Commissioner Patty Gaby Michael Lautenbach, Dave Johansen, Bob Johns and Eleanor Granflor Kevin Neal, Regional Golf Course Superintendent Chairman McCulloch called the meeting to order at 5:01 p.m. PUBLIC COMMENTS — None APPROVAL OF THE MINUTES Vice Chairman Schultz made a Motion to approve the November 29, 2007 Minutes. The Motion was seconded by Chairman McCulloch. Motion passed. ACTIVITY REPORTS A. Golf Superintendent Vice Chairman Schultz stated the furniture at the Anaheim Hills Golf Course Grill is not looking good. Michael Lautenbach stated the wooden grille chairs will be replaced with metal chairs and the banquet chair cushions will be dyed a darker color. Michael stated the new chairs were ordered two months ago. Vice Chairman Schultz stated the bar at Anaheim Hills seemed understaffed at times. Michael Lautenbach stated he will look into it. Michael Lautenbach stated the renewal agreement for the food & beverage concession is on the agenda for the next City Council meeting. Commissioner Gaby inquired about the revenue received by the City. Michael stated the City nets over $200,000 from the food and beverage concession at Anaheim Hills. B. Golf Course Superintendent Dave Johansen presented his report and answered questions. Dave stated Kevin Neal has taken to a corporate position with Valley Crest and Todd Shank will be his replacement. Commissioner Gaby questioned the conditions of Dad Miller Golf Course due to the heavy rains. Dave Johansen stated the golf course has not flooded. Dave also stated the golf courses have survived the winds quite well. January 24, 2008 Page Two C. Director of Golf Bob Johns presented his report and answered questions. Bob stated he hired a new Golf Instructor, Soko Kim. Bob Johns stated the new instructor is a qualified Korean instructor who will spend most of his time at the driving range. This will ensure better oversight on that side of the golf course. Commissioner Gaby questioned the decrease of merchandise sales for December. Bob Johns stated gift cards are purchased more than merchandise. Michael Lautenbach stated that a lot of gift cards were purchased through the golf website. Commissioner Wright stated her concern of customer service problems at Dad Miller Golf Course and incident that had occurred recently. Commissioner Wright stated golf shop employees and player assistants need to be trained to have good customer service skills. Michael Lautenbach questioned when this occurred, the date and time, so it can be looked into. Vice Chairman Schultz stated there is a need for a consistent slow play policy. Commissioner Wright agreed that there is a problem with slow play at both golf courses and that slow play is also due to poor customer service. Michael Lautenbach stated in addition to orientation, there needs to be continuous training in customer service. Commissioner Gaby questioned the orientation of golf marshals. Michael Lautenbach stated that golf staff would meet to discuss options to improve pace of play. Vice Chairman Schultz stated the wording of an email sent to team captains and board members of the Anaheim Hills Golf Club regarding a slow play issue at a team play event was too harsh. Vice Chairman Schultz stated the Anaheim Hills Golf Club is a very good customer and this issue should have been addressed in person with the respective team captains Vice Chairman Schultz questioned if non-resident club members need to pay a fee for the new loyalty program. Michael Lautenbach stated that in the first year there is no fee for non- resident club members. Michael Lautenbach stated in following years, there will be a fee for everyone to participate in the loyalty program. Vice Chairman Schultz stated there is a need for a brochure, explaining the details of the loyalty program. FINANCIAL REPORT Michael Lautenbach reported November and December revenues and rounds were within expectations. Michael stated rounds were up in November and down in December. Michael stated the revenues increased in November and December. Michael Lautenbach stated January revenues will not be good due to weather conditions. OLD BUSINESS A. Golf Course Improvement Update Michael Lautenbach stated the final specifications of the Dad Miller Golf Course restroom repairs are currently being reviewed by the Purchasing Division. January 24, 2008 Page Three Michael Lautenbach stated the tree trimming at Dad Miller Golf Course started in the middle of December 2007. The east side of the golf course has been completed. Michael Lautenbach stated the west side is estimated to be complete within the next 3 - 4 weeks, depending on weather conditions. Michael Lautenbach stated the Request for Proposal for a Master Plan at Anaheim Hills Golf Course is close to completion. Michael Lautenbach stated the switchover to fiber optic connection has been completed at Anaheim Hills Golf Course. Vice Chairman stated the scoring computer was not switched over which caused some problems for tracking of handicaps. Michael Lautenbach stated the switchover at Dad Miller Golf Course is scheduled for the first quarter of the next fiscal year. Michael Lautenbach discussed a new option to protect the Savanna High School parking lot from golf balls. The option is to move the 10th tee box to the left side and therefore creating a better angle for tee shots. Michael stated in addition to moving the 10th tee box, a 40 foot chain link fence could provide even more protection. Michael Lautenbach stated golf staff was seeking proposals and will then meet with Anaheim Union High School District staff. Chairman McCulloch questioned the ruling of golf balls landing near the driving range fence. Bob Johns stated the area by the fence was ground under repair, marked by a white line, and allows for a free drop. Michael Lautenbach discussed the progress on three projects at Dad Miller Golf Course: - Cart path construction by #15 green - Protective structure to cover the new pump station - Landscaping by the driving range Michael Lautenbach stated directional and informational signs at Dad Miller Golf Course were replaced. The only old signs left are on the restrooms, but will be taken off shortly. Michael Lautenbach stated the golf course restrooms will be painted and will receive new fixtures. B. Capital Reserve Fund Michael Lautenbach stated the Capital Reserve Fund spreadsheet has been updated. NEW BUSINESS At this time, new business was not presented. ADJOURNMENT Chairman John McCulloch made a Motion, seconded by Vice Chairman Schultz, to adjourn the meeting to February 28, 2008 at 5 p.m., at City Hall East, Conference Room #1. The Motion passed. There being no further business the meeting adjourned at 6:06 p.m.
