Public InwV Chairman Nguyen explained that members of the public are invited to address the Anaheim Sister City Commission and will be called upon under Agenda Item No. X, Public Comment. I. CALL TO ORDER The regular meeting of the Anaheim Sister City Commissiou was called to order at 4:09 p.m. on Monday, September 26, 2411 at the Anaheim City Manager's Office, City Hall, 200 S. Anaheim Blvd., 7'" Floor, Anaheim, California.. II, APPROVAL. OF MINUTES -- July 25, 2011 Approval of the minutes from the Anaheim Sister City Commission (ASCC) meeting that was held in July 2011 have been deferred to the next meeting, as there was not a quorum of corny .1issioners at this meeting that were in attendance at the July meeting for approval of minutes. III. APPROVAL OF MINTUTES _. August_22, 2011 MOTION Commissioner O'Neal offered a Motion, seconded by Commissioner Leonard AND MOTION CARRIED (Vote: 9 -0, Abstained: Gin, Pizza; Absent: Buhrmaster, Cali, Zlaket and one vacant seat) that the Anaheim Sister City Commission does hereby approve the minutes from the August 22, 2011 AS CC Anaheim Sister City Commission. September 26, 2011. Page 2 meeting with the exception of the correction of the date noted as October rather than September, in Item XV. W. ADOI''NON OF BYLAWS MOTION Commissioner O'Neal offered a Motion, seconded by Connmissioner Cain AND MOTION CARRIED (.Tote: l l -U; Absent: Buhrrnaster, Cali. Zlaket and one vacant seat) that the Anaheim Sister City Commission does hereby approve the adopted bylaws with the only change being that December will be the sole dark month. V. AD HOC; SUBCOMMITTEE APPONTMENT — CUU1'CIRA.LIG0VFRNMEN'T EXCHANGE Chairman Nguyen reported that Commissioner Zlaket reported that due to a personal issue, she would like to offer her appointment as Chair for the Cultural/coven vent Exchange Subcommittee to any commissioner that may be interested. She will continue to be in the subcommittee, however, she is unavailable to commit as the Chairperson at this titre. The commission decided to revisit the .idea at the next ASSC meeting in October 2011. III. AD HOC SUBCOMMITTEE REPORTS Commissioner Lahodny reported that the Executive Subcommittee discussed how they could support the overall goals of the Sister City Commission. Also they discussed creating an international committee through the Anaheim Chamber of Commerce which would provide a portal between this commission and the business community to help create and build relationships. Chairman Nguyen reported that Commissioner Day has resigned due to personal. commitments. She sent a letter of resignation along with a cheek: for $200,00, partially to cover the fee for the Sister City Regional Conference in which she is already registered, and the remainder is a donation for the general family level membership. Additionally, she has offered to assist with finding her replacement. Chairman Nguyen praised all that Commissioner Day has accomplished. She is an amazing individual and she will be greatly missed. Commissioner Newby brought up the idea of utilizing the Fundraising Toolkit that may be purchased from the International Sister City website. Chairman N remarked that the toolkits will be available at no charge at the Regional Conference next creek. He also stated that he has them on a thumb drive and will give them to everyone. TREASURER'S REPORT Commissioner Leonard reported that she met with the Sjany Larsen -Cash, of the Community Foundation and former Commissioner Patel regarding taking over the Treasurer's Report. Comrnissioner Leonard gave a brief explanation of the t'reasurer's Report Spreadsheet and reported that the $180.00 credit showing is from the refund for two registration fees for the conference. VIII. STAFF REPORT Michael Bruckner reported that he has received a donated box of Sister City delegation binders, photos and memorabilia from the first delegation to Mito in 1976. Michael will be turning it over to Jane Newell, the City's Historic Preservation Manager. It will be catalogued and will become a part of the City's official historical record. Michael Bruckner reported that Mayor Tait recently sent two letters; one to Mayor Aranzabol of Vitoria- Gasteiz, Spain and the, other to Mayor Yosushi of Mito, Japan reinforcing the sister city relationship and pursuing new ways to expand. Michael stated that this outreach will assist the commission with the grant process during the next round. Michael also reminded the commissioners that he will need a bio on each Commissioner to be entered on the Sister City website. In a discussion regarding the Sister City website updates, Commissioner Ping. suggested having a timeline beginning from the former Anaheim. Sister City .Association history and bringing it forth to the current activities of file Anaheim Sister City Commission to give the Sister City a good solid foundation. Commissioner Newby has been searching the libraries and other resources for books regarding Anaheim and the various venues such as Disneyland. This type of information would be utilized when visiting sister cities. IN4.ichael encouraged all of the subcommittee members to meet and discuss ideas to move the commission goals forward and report back to the general body as most of the work - happen at the subcommittee meetings. Anaheim Sister City Commission September 26, 2011. Wage 4 Mayor Love of Riverside invited Mayor Tait to visit the Regional Conference next week. Mayor Loveridge will be moderating the session on October 01, 2011 at 10:15 a.in. The focus will be on Sister Cities in the Face of Disaster. Michael encouraged the commissioners to attend as well. S'X. REGIONAL CONFERENCE Chairman Nguyen noted that everyone that registered for the Regional Conference next week should have received a confirmation letter. The conference will extend from Friday, September 30 to Saturday, October 01, 2031. Commissioner Piercy inquired about the conference schedule of sessions and also made the suggestion that the attendees exchange cell phone numbers and try to arrange carpooling. X_ PUBLIC COMMENT None. XI. MISCELLANEOUS ITEMS Commissioner Leonard presented four renditions of Sister City stationery for review and approval by the commission. NII. COMMISSIONER COMMENTS Commissioner Newby reported that she is volunteering her personal time and money to attend the Green City Celebration on Thanksgiving in Vitoria- Gasteiz, Spain.. She has an itinerary prepared and meetings set. The City Council is going to receive her and she has a meeting set with their Mayor, Additionally, the trip is open to anyone that may be interested. Commissioner Newby requested any Anaheim information that she could take on the trip would be greatly appreciated along with City logo pins, gifts, and possibly any memorabilia items from the local venues (i.e. Angels, Ducks, Disneyland, etc.). Commissioner Newby also reported that she has received the advice to snake the next trip in May rather than February, when the when the weather will be nicer. Michael Bruckner suggested that now is the time to begin fundraising efforts for the next trip to Vitoria- Gasteiz.. Anaheim Sister City Commission Septennber 26, 2011 Page 5 Commissioner Newby also reported that she leas a meeting with the Spanish Tourism Board next month in an attempt to get them to underwrite some of the expenses for the trip. Chairman Nguyen thanked Commissioner Newby for taking such great initiative in setting the meetings, and taking this trip to Vitoria- Gasteiz.
