Public Input: Chair Thorson explained that members of the public are invited to address the Anaheim Sister City Commission and will be called upon under Agenda Item No. V. Public Comment. I. CALL TO ORDER The meeting of the Anaheim Sister City Commission (ASCC) was called to order at 4:12 p.m. by Chair Kyndell Thorson on Monday, July 20, 2015 at the Anaheim City Manager's Office, City Hall, 200 S. Anaheim Blvd., 7th Floor, Anaheim, California. II. APPROVAL OF MINUTES MOTION: Commissioner Laurie Leonard offered a Motion, seconded by Commissioner Jeanne Tran AND MOTION CARRIED (Vote: 10-0; Abstained: Pepe Avila, Lori Farrow and Debbie Juliani; Absent: Mark Lopez and John Nguyen) that the Anaheim Sister City Commission does hereby approve the minutes from the ASCC meeting held on June 22, 2015 as presented. ITEM NO. 02 Anaheim Sister City Commission July 20, 2015 Page 2 III. TREASURER'S REPORT A copy of the Treasurer's Report dated July 15, 2015 was presented at the meeting. Treasurer Laurie Leonard noted there had been no activity since the last meeting and the current balance remained the same at $20,800.68. MOTION: Commissioner Brian O'Neal offered a Motion, seconded by Commissioner Pepe Avila AND MOTION CARRIED (Vote: 13-0; Absent: Mark Lopez and John Nguyen) that the Anaheim Sister City Commission does hereby approve the Treasurer's Report dated July 15, 2015 as presented. IV. AD HOC SUBCOMMITTEE REVIEW & REPORTS Commissioner Dinwiddie distributed a copy of the schedule of events planned for the 2015 Mito Inbound Student Exchange. He also passed around a sign-up sheet for Commissioners to sign up to attend any of the events. He would greatly appreciate it if the Commissioners could join him in welcoming the students on Friday, July 24 at 5:30 p.m. at the Downtown Community Center, and attend the Tailgate Party at Angel Stadium on Saturday, July 25 at 3:00 p.m. and the Sayonara Dinner on Friday, July 31 also at the Downtown Community Center. Commissioners were welcome to sign up for any other events, space permitting. Commissioner Jackie Filbeck displayed the items that are going to be included in the goody bags for the Mito students and chaperones. She thanked everyone who contributed gifts and the Commission was very pleased with the variety and quantity of gifts. Discussion took place to get a media release for the students because they are going to be constantly photographed and videotaped. If it could not be accomplished in time for this year, it should be included in the registration packet for 2016. Commissioner Dinwiddie questioned whether or not it would be appropriate to use the cash the students hand him ($120 each) when they arrive towards the host family's stipend. It was decided that checks should be requested ahead of time for the families through ACF so that a proper paper trail could be established. Erin will initiate the check request on Tuesday, July 21 and place a rush on it. A tour of the Mito Bridge at Anaheim Shores was added to the schedule and will take place on Wednesday on the way to the beach. Commissioner Dinwiddie will prepare the itinerary with an order of events for the dinner and will send it to Chair Thorson in advance. The Commission will present flowers to Katie Filbeck at the dinner and pay her for her services at a later time. MOTION: Commissioner Anna Piercy offered a Motion, seconded by Commissioner James Dinwiddie AND MOTION CARRIED (Vote: 12-0; Abstained: Jackie Filbeck; Absent: Mark Lopez and John Nguyen) that the Anaheim Sister City Commission July 20, 2015 Page 4 Anaheim Sister City Commission does hereby approve a $1,000 gift in a form of a check for Katie Filbeck for her instructional services to the Mito Exchange students. Chair Thorson thanked Commissioner Dinwiddie and the Cultural/Government Exchange Subcommittee for all the hard work they put in for the 2015 Inbound Mito Student Exchange. Commissioner Debbie Juliani reported that K&A is going to cater The Sayonara dinner and they gave her a very good deal. Commissioner Juliani also reported on behalf of the Marketing and Fundraising Sub -committee that she met with Commissioners Tran and Lopez to discuss the next fundraiser. They put together some task lists. The idea continues to be to tour Anaheim Brewery, Noble and Bottle Logic, but she is hoping that another brewery will open in the meantime. Commissioner Juliani is also in the process of confirming a date that works for Mayor Tait. They are targeting for an early afternoon on a Saturday or Sunday in October. Each tour and tasting will take approximately 30 to 45 minutes. It would include three tastings at each location and she's only received pricing back from Noble which is $10 per person. The Sub -committee also thought it would be fun to do a commemorative glass the guest can take from brewery to brewery or have one at each location. Also, Commissioner Juliani's broker agreed to do lunch complimentary, so they will do that at the second stop, which will probably be Noble. They are targeting to promote the fundraising event in early September. In regards to the Sister City relationship with Pudong, China, Chair Thorson reported that the tentative park opening of the park in Shanghai has now been set for spring 2016, so a good time for Anaheim's delegation to visit Pudong is late spring or early summer 2016. Once the date is set, Mayor Tait will communicate with Pudong to inform them of the planned visit. V. PUBLIC COMMENT David Bracey announced that over the past few months Sister Cities International, Southern California Chapter revamped their website and their social media. They have a news and events page where they post news for all sister city relationships for Southern California cities. The site has several stories about Anaheim's events last year and Katie Filbeck's recent trip to Japan. They also have a directory of all the cities in the Southern California region with links to their Anaheim Sister City Commission July 20, 2015 Page 5 websites including Anaheim and he would like to ask if the Anaheim Sister website could put a link to the SoCal Sister Cities website for which the Commission agreed to do. David added, once the Mito students arrive in Anaheim they will post a story on there. VI. COMMISSIONER COMMENTS Commissioner Chris Locke stated she is working with Commissioner Debbie Juliani on a presentation that talks about what business development would look like for the Anaheim Sister Commission. She is going to present it to the Commission at the next commission meeting in August. The presentation will talk about what other Sister City Commissions are doing in the world and make some recommendations. Chair Thorson thanked Commissioners Locke and Juliani for working on that presentation and expressed it will be fun and education for all. Commissioner Dinwiddie asked if the Commission has the intent to send students to Japan in 2016. The Commission agreed it would be okay and should start preparing for that. The Commission asked that the following discussion items be agendized for the commission meeting in August: 2015 Mito Inbound Student Exchange Recap and Cost and Fundraising Opportunities for the 2016 Student Outbound Exchange Program. VII. ADJOURNMENT There being no further business, the meeting was adjourned at 5:08 p.m. to Monday, August 24, 2015 at 4:00 p.m. at the Anaheim City Hall, 7th Floor, City Manager's Office Large Conference Room.
