Public Input: Chair Debbie Julian explained that members of the public are invited to address the Anaheim Sister City Commission and will be called upon under Agenda Item No. VI. Public Comment. L CALL TO ORDER Chair Debbie Julian called the meeting of the Anaheim Sister City Commission (ASCO) to order at 4:07 p.m. on Monday, June 26, 2017 at the Anaheim City Manager's Office, City Hall, 200 S. Anaheim Blvd., 7th Floor, Anaheim, California. IL APPROVAL OF MINUTES MOTION: Commissioner Jerry O'Keefe offered a Motion, seconded by Commissioner Anna Piercy AND MOTION CARRIED (Vote: 6-0, Abstained: Paul Anderson and Jeanne Tran, Absent: Pepe Avila, Lori Dinwiddie, Julia Erdkamp, Jackie Filbeck, Yanni Guo, Brian O'Neal and one vacant seat) that the Anaheim Sister City Commission does hereby approve the minutes from the ASCC meeting held on May 22, 2017 as presented. APPROVAL OF TREASURER'S REPORTS Treasurer Jeanne Tran presented the Treasurer's Report dated June 20, 2017 and noted that since the last report, two airline tickets had been purchased for the outbound student chaperones, leaving the current balance at $12,604.28. She further noted there are some outstanding reimbursements left for insurance and the transportation to the airport that add up to approximately $552.00. Vice Chair Anthony Al -Jamie stated the Commission might recall from the last meeting that the travel agency scheduled the flight to Mito, Japan for the students and chaperones to the wrong airport. The travel agency figured out the cost of what it would cost to charter bus them from Haneda Airport to Mito and they took that cost and deducted it from the cost of the insurance and, so they deducted $260 to make up for the error. In other words, Mr. Wang decided to pick up the students at the Haneda Airport, so the airline gave the Commission a discount and applied it towards the insurance. MOTION: Commissioner Anthony Al -Jamie offered a Motion, seconded by Commissioner Anna Piercy AND MOTION CARRIED (Vote: 8-0, Absent: Pepe Avila, Lori Dinwiddie, Julia Erdkamp, Jackie Filbeck, Yanni Guo, Brian O'Neal and one vacant seat) that the Anaheim Sister City Commission does hereby approve the Treasurer's Report dated June 20, 2017. IV. 2017 INBOUND/OUTBOUND STUDENT EXCHANGE PROGRAMS Commissioner Jeanne Tran reported that the six students and two chaperones arrived safely at Mito, Japan. They left at 7:15 a.m. on Friday, June 23. They spent the first day with their host families and the following day they toured a junior high school where Luke Hogencamp was interviewed and filmed. Commissioner Tran will email the link of the interview to the Commission. She also requested that it be posted on the Sister City website. Kimberly Kelemen will make the request for the posting. Commissioner Tran further stated they are all doing well. The chaperones were really excited and staff sent them off with lots of chocolate to give as gifts. They come home on July 4 in the morning and they expect them to arrive at the Downtown Community Center between 12 and 1pm. Anaheim Sister City Commission June 26, 2017 Page 3 Concerning the Inbound Student Exchange, Chair Debbie Julian reported they have been in communication with Katie Filbeck to finalize the schedule for the week the students are in Anaheim. It was further noted that Mr. Wang is not traveling with the inbound students this year and that there will be two female chaperones, Yumiko Oguchi and Miyuki Teruyama. Miyuki is a former exchange student who came to Anaheim about six years ago. Chair Julian stated once the agenda is finalized, it would be sent out to the Commission. She invited all the commissioners to the meet and greet to welcome the inbound students on Friday, July 28 at the Downtown Community Center. After some discussion, the Commission decided to have the Sayonara dinner on Friday, August 4 before the baseball game at the Visit Anaheim conference room located inside the Wells Fargo building across the street from the stadium. Chair Julian will contact Visit Anaheim and make arrangements including event details. Once all the details for the schedule are finalized, Kimberly will sit down with the Community Center Coordinator and book the rooms at the Downtown Community Center. After some discussion it was decided that in lieu of taking students to the Orange County Fair, the Commission will offer discount tickets to the host families so that they have an option to take them. Kimberly Kelemen is going to put in a request for a couple cases of Anaheim water for when the students are here. The preliminary schedule is as follows: • Friday, July 28, the students arrive/Meet and Greet at DCC • July 29 and 30, the students spend the weekend with their host families • Monday, July 31, instructional time with students and lunch at the Packing House • Tuesday, August 1, meet with Mayor Tait, tour Council Chambers, lunch at In -n -Out and tour the fire station • Wednesday, August 2, Day at Disneyland • On Thursday, August 3, Tour of Anaheim Shores and Beach Night or Orange County Fair as backup in case the beach does not work out • On Friday, August 4, Sayonara Lunch and Angels baseball game Anaheim Sister City Commission June 26, 2017 Page 4 V. PUBLIC COMMENT David Bracey stated that the Sister Cities International, Southern California Chapter meeting would be on Saturday, August 12 in Newport Beach. VII. COMMISSIONER COMMENTS None VIII. STAFF COMMENTS Kimberly Kelemen had follow ups to report from the last meeting. • The City Council Office will provide gifts for the inbound students. • The outbound students and chaperones are going to be recognized at the July 25 Council meeting with an opportunity to share slides of the trip and report to Council about their experience. IX.
