Public Input: Chair Debbie Julian explained that members of the public are invited to address the Anaheim Sister City Commission and will be called upon under Agenda Item No. VI. Public Comment. L CALL TO ORDER Chair Debbie Julian called the meeting of the Anaheim Sister City Commission (ASCO) to order at 4:15 p.m. on Monday, July 24, 2017 at the Anaheim City Manager's Office, City Hall, 200 S. Anaheim Blvd., 7th Floor, Anaheim, California. IL APPROVAL OF MINUTES MOTION: Commissioner Jerry O'Keefe offered a Motion, seconded by Commissioner Matthew Hicks AND MOTION CARRIED (Vote: 4-0, Abstained: Jackie Filbeck, Brian O'Neal and Lori Dinwiddie; Absent: Paul Anderson, Pepe Avila, Taline Cole, Yanni Guo, Anna Piercy, Jeanne Tran and two vacant seats) Anaheim Sister City Commission July 24, 2017 Page 2 that the Anaheim Sister City Commission does hereby approve the minutes from the ASCC meeting held on June 26, 2017 as presented. III. APPROVAL OF TREASURER'S REPORTS Chair Debbie Julian presented the Treasurer's Report dated July 19, 2017 and noted that since the last report, the reimbursement of insurance and the shuttle transportation of the outbound students in the amount of $557.52 had been processed, leaving the current balance at $12,046.76. MOTION: Commissioner Lori Dinwiddie offered a Motion, seconded by Commissioner Matthew Hicks AND MOTION CARRIED (Vote: 7-0, Absent: Paul Anderson, Pepe Avila, Taline Cole, Yanni Guo, Anna Piercy, Jeanne Tran and two vacant seats) that the Anaheim Sister City Commission does hereby approve the Treasurer's Report dated July 19, 2017. IV. 2017 INBOUND/OUTBOUND STUDENT EXCHANGE PROGRAMS Commissioner Lori Dinwiddie reported that all the host families had been confirmed to host the inbound students and that all but two of the families had been fingerprinted. One of the host families had a family emergency, so that family was not able to host two students, but they were able to move some people around and Steven Trinh who went to Mito last year is going to host two students. The Commission discussed the schedule for the inbound students and finalized it as follows: Friday, July 28 • Students arrive at 5:30 p.m. at the Downtown Community Center (DCC) (8 students, 2 chaperones) • Welcome Reception at the DCC - Visual Arts Room -5:30-6:30 p.m. Saturday and Sunday, July 29/30 • Host Family time Monday, July 31 • 9:00 a.m. - 10:00 a.m. - Class time • 10:00 a.m. - 11:00 a.m. -Tour of Fire Station with Deputy Chief O'Hara • 11:30 a.m. - 1:00 p.m. - Lunch at Anaheim Packing House 0 2:30 p.m. — 9:00 p.m. - Tour of Mito Bridge and Beach Party Anaheim Sister City Commission July 24, 2017 Page 3 Tuesday, August 1 • 9:00 a.m. - 10:00 a.m. — Class time • 10:30 a.m. - Tour Council Chambers with Council Member Stephen Faessel • 11:00 a.m. - 12:00 p.m. - Meet with the Mayor Tait • 12:30 p.m. - 1:30 p.m. - Lunch at In -n -Out Burgers • 2:00 p.m. - 4:30 p.m. - Yakult Tour Wednesday, August 2 • 8:30 a.m. - 10:30 a.m. — Class time • 11:00 a.m. - 11:00 p.m. - Disneyland Thursday, August 3 • 10:00 a.m. —Class time/Flower making with Lori Dinwiddie • 11:30 a.m. — 3:00 p.m. — OC Fair Grounds • 3:30 p.m. — 5:00 p.m. — Class time/Sayonara preparation @ DCC Friday, August 4 • 9:00 a.m. — 11:30 a.m. - Downtown Disney • 12:00 p.m. - Visit Anaheim Offices/Pizza & Rehearsal of Sayonara • 3:00 p.m. - Tailgate Reception at Visit Anaheim • 5:00 p.m. - Depart for Angel Stadium for 7:05 p.m. Angel Game (16 tickets, 2 rows back to back) Saturday, August 5 • Host Family Time Sunday, August 6 • 8:00 a.m. - Meet at DCC - Student Departure Chair Julian encouraged the Commissioners to attend the Welcome Reception and the Sayonara Dinner if their schedule permits. Katie will be providing all pictures from the student's visit to Chair Julian so that a slide show can be prepared for the Sayonara Dinner. Commissioner Dinwiddie would like to give the stipend to host families when they pick up the students. She will provide the names to Kimberly Kelemen. Further, at Kimberly's request, Commissioner Dinwiddie will provide an official letter requesting the stipend. Anaheim Sister City Commission July 24, 2017 Page 4 After some discussion, it was decided that the $150 that students hand in when they arrive at Anaheim will be collected by Commissioner Dinwiddie and she will distribute it to the parents and will request $150 checks for each family to pay for the remainder of the stipend, which is $300 per student. Regarding the Outbound Student Exchange, Commissioner Dinwiddie reported the outbound students and chaperones are going to be present at the July 25 Council meeting. Britney Garcia, one of the outbound students, is going to speak and share their Mito experience with Council. In addition, the Commission decided to invite the outbound students to the Sayonara Dinner on Friday, August 4. V. AD HOC SUBCOMMITTEE REVIEW & REPORTS a. Cultural/Government Exchanize Subcommittee None. b. Marketing/Fundraising Subcommittee None. c. Economic Development Subcommittee None. VI. PUBLIC COMMENT David Bracey stated that the Sister Cities International, Southern California Chapter will hold its quarterly meeting on Saturday, August 12 in the Citizens Meeting Room at Newport Beach City Hall, from 9:30 a.m. to 2:30 p.m. and that everyone is welcome. VII. COMMISSIONER COMMENTS None VIII. STAFF COMMENTS Kimberly Kelemen will need the room setups for the days the inbound students will be utilizing the Downtown Community Center.
