80R-214 RESOLUTION NO. 80R-214 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF ANAHEIM AUTHORIZING THE DESTRUCTION OF CERTAIN CITY RECORDS, DOCUMENTS, INSTRUMENTS, AND PAPERS MORE THAN TWO YEARS OLD. WHEREAS, Section 34090 of the Government Code of the State of California authorizes the destruction of records, documents, instruments, books and papers (hereinafter "records") which are no longer required or needed by the City, upon approval of the City Council and with the written consent of the City Attorney, provided that said records do not fall within certain speci- fied categories; and WHEREAS, the following described records in the possession of the respective Department Heads of the City of Anaheim are records more than two years old and are documents which are authorized for destruction under the provisions of said Section 34090 of the Government Code without making a copy thereof; and WHEREAS, the City Manager, the Public Works Director and the City Clerk have determined that said records are no longer needed or required by the City; and WHEREAS, the City Council concurs in the determination of the Department Heads and finds the destruction of the records in the best interests of the City of Anaheim; and WHEREAS, the City Attorney of the City of Anaheim does by the approval of this Resolution hereby give his written consent for the destruc- tion of the records herein specified. NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Anaheim that the City Manager, Public Works Director and City Clerk of the City of Anaheim, be and are hereby, authorized to immediately destroy, in a lawful manner, the following described documents under his charge without making any copes thereof, to wit: CITY CLERK: 1. Election Supplies - used and unused ballots, combined indices and rosters from the 1978 General Municipal Election. 2. Petitions collected for direct election of the Mayor, 1973. 3. Copies of Council agenda from years prior to 1976. CITY MANAGER: 1. Audit Division work papers covering years 1966 - 1976. PUBLIC WORKS DIRECTOR: I. Real Property Division Abandonment working files, (copies of original documents) covering the years 1976-1978. Originals have been filmed by City Clerk. 2. Real Property Division Encroachment working files, (copies of original documents) covering the years 1976 and 1977. Originals have been filmed by City Clerk. 3. Real Property Zoning work files, (copies of original docu- ments) assorted years between 1961 and 1978. Originals have been filmed by City Clerk. 4. Excavation permits for period 1964 through 1968. 5. Administrative working files including time sheets, budget work papers, internal blue notes, covering years 1967-68 and 1972. 6. files 1971-72. LARTS correspondence files 1968-69 and TOPICS correspondence 7. Subdivision Tract Files numbered between 4000 and 8000, items include title policies, CC and R's, fee collection forms, copies of documents already filmed by City Clerk. 8. Subdivision grading plan, parcel map and special project files. Years covered 1974-1978. 9. Copies of routine office correspondence and inter-office memorandums regarding various public works jobs including Walnut Canyon Reservoir. Years covered are primarily 1950 - 1969. 10. 1962-1978. Public Works Division administrative files, covering years 11. Executive Director's files on professional organizations (copies of minutes, agendas, meeting data) covering years 1968-78). 12. Street lighting districts 1959-1978. Copies of documents which are on file and filmed in City Clerk's Office. 13. Departmental reports and correspondence regarding claims against the City covering years 1974-1980, relating to claims that have been resolved. ') - ~ - 14. Convention Center Files--copies of agreements and minutes from Community Center Authority, 1960-l978. - J - BE IT FURTHER RESOLVED that upon destruction of the fore- going records, a certificate of destruction shall be executed and the original thereof filed in the office of the City Clerk together with a copy of this resolution. THE FOREGOING RESOLUTION is approved and adopted by the City Council of the City of Anaheim this 13th day of May, 1980.
